Xero to Zoho Books UK: a Practical Guide

Plan a reliable move around accounting controls, not just export files.

1. Define why you are moving

Write down the commercial case: ecosystem consolidation, workflow automation, client standardisation or cost. A clear purpose prevents the project from copying every Xero habit into Zoho.

2. Choose the data scope

At minimum, plan for chart of accounts, contacts, items, open invoices and bills, credits, opening balances and comparative reports. Decide whether transaction-level history adds value or whether a secure Xero archive plus monthly trial balances is proportionate.

3. Clean before export

  • Reconcile every bank and clear unexplained statement lines
  • Review aged debtors, creditors and duplicate contacts
  • Lock completed periods and run final control reports
  • List tracking categories, repeating invoices, rules and apps

4. Design tracking and automation

Xero tracking does not translate one-to-one. Test the reports you need using Zoho reporting tags, branches, projects or custom fields. Rebuild only useful repeating invoices and rules, checking dates, tax treatment and account coding.

5. Protect VAT and MTD continuity

File and save the final agreed Xero VAT return, note the scheme and return periods, reconcile VAT control and retain detailed reports. Configure UK taxes in Zoho, authorise the HMRC connection and verify the first return population before filing. Prior submissions remain with HMRC and in the archive.

6. Import in dependency order

Load accounts, contacts and items before transactions and balances. Use a test import, document rejected rows and avoid editing source files without an audit copy.

7. Reconcile before go-live

Match trial balance, aged debtors, aged creditors, banks and VAT control to the final Xero reports. Sample invoices and bills for dates, net, VAT, gross and coding.

8. Control the cutover

Communicate a stop-posting time, complete the final delta, connect feeds and give users role-based training. Keep Xero read-only for the required retention period.
